Less time in the parts book. More time on the tools.

Workshop software so technicians stay on the tools — and knowledge stays when people leave.

20 minutes, no obligation. Same-day reply.

Built by an electrical and mechanical engineer who’s spent years in the bay, not a generic software team.

We’re onboarding our first workshops now. Pilots start with your primary product range.

A fictional sample RIB and outboard with placeholder part numbers — not OEM or customer data.

Sample machine · not OEM / customer data

What you’re looking at

This is a fictional sample RIB. Tap the outboard to open it and see its parts. A live Trace Systems site uses your parts books and your part numbers.

Part numbers are TS-OB-… placeholders — not OEM or customer data. Other machine families are available by quotation.

Example (illustrative): finding a part on an assembly like this — about 8 minutes in the parts book → about 40 seconds in Trace Systems.

How getting started works

  1. A 20-minute screen share on your machines.
  2. We quote your catalogue build or a 12-week pilot.
  3. Your team uses it on real jobs.

Why Trace Systems exists

Trace Systems started in the workshop. I kept seeing hours lost hunting for the right part in OEM documentation. When people skipped the parts book and went straight to stores to save time, the part had often moved.

So we built software that takes the friction out of getting the right part for the job. The Interactive 3D Parts Finder brings your OEM parts books to life, so your team can spot the correct part in seconds instead of minutes or hours. Parts Catalogue Look-Up lets you check it against the OEM documentation. Parts Finder then shows you where it lives in your stores.

Diagnostic Assistant came from years of teaching fault-finding to seasoned and junior tradespeople alike. It’s my engineering know-how, packaged so more people can use it on the job every day.

The aim is simple: less time in the parts book, more time on the tools. Every system is set up around your machines, your parts books and the way your workshop already works.

Diagnostic Assistant

Diagnostic Assistant — workshop fault knowledge that stays when people leave, and stays in your workshop. Learns from the faults your team already logs. Runs on private local AI so company secrets remain secret. Licensed per dealer or site — not per machine. Add it to any catalogue level.

Diagnostic Assistant — how it reads in the bay

Illustrative conversation only — not a live assistant. On a live site it answers from your manuals and logged faults, on your hardware.

Diagnostic Assistant Sample outboard motor · illustrative
Tech

Customer’s outboard is overheating and the tell-tale’s barely dribbling. Where do I start?

Assistant

Start at the cheap end: clear the tell-tale outlet with a bit of wire — they block more often than anything fails. If the jet’s still weak, check the water intake grilles either side of the gearcase for weed or mud. Your last four logged jobs with this symptom ended at the impeller — set or torn vanes. See fault log 2026-041.

Tech

Grilles are clear. What’s the part number for the impeller?

Assistant

Impeller TS-OB-COOL-020 — Fig. 4 Cooling system, item 2. Fit a new one any time the pump housing comes off; open the line in Parts Finder to confirm stock.

Tech

Anything else worth checking while the lower unit’s off?

Assistant

Two things from your fault history. Make sure the water tube grommet seats properly in the pump housing — a displaced one gives exactly the same symptom. And drain a little gear oil: if it’s milky, check the propshaft seal. On two earlier jobs it had been cut by fishing line wound behind the prop. I can pin both checks to the job card.

This is sample data. On a live system it uses your own fault logs. See how it would read for your team.

Part of Diagnostic Assistant

Diagnostic Assistant on the service desk: fault calls handled before an engineer is sent

Plain-English fault information for office and service desk staff. When a customer rings with a fault, the first few minutes on the phone decide how the rest of the job goes. Diagnostic Assistant gives your team a clear view of the fault, so they can gather the right information and pass a better picture to your engineers.

What it does

Fault codes in plain English

No technical background needed to understand what a code means.

What the customer may notice

The signs a customer is likely to describe on the phone.

Approved questions to ask

Simple questions, written and approved by your own knowledge manager.

A clearer picture

Helps your team understand the situation before deciding on next steps.

Designed to help with:

  • Fewer wasted call-outs and fewer engineers arriving unprepared.
  • Better first-time fixes: the engineer knows more before setting off.
  • Engineers interrupted less: the office handles the questions it used to pass on.
  • Consistent answers: the same approach, whoever picks up the phone.

Questions are drafted from your own manuals and guides, then checked and approved by your knowledge manager, the person responsible for keeping your fault knowledge accurate, before your team ever sees them. Questions are designed to gather observations, such as what the display shows, when the fault appeared and what the machine was doing, and the decision on whether to send an engineer always stays with your team.

Decision support only — not authority to return equipment to service. Diagnostic Assistant does not tell a caller whether a machine is safe to use.

Service desk triage is included in the Diagnostic Assistant add-on. It draws on the same fault knowledge and runs on your own server, so your data stays on your site.

How it fits together

01

One catalogue level

Each level includes the one below: Parts Catalogue Look-Up includes Parts Finder; Interactive 3D Parts Finder includes both.

02

Diagnostic Assistant is an add-on

Add it to any level. It is not a fourth catalogue tier. You only need one catalogue level.

03

Built around your workshop

Same core platform, configured per OEM or dealer group. Custom development is by quotation only. Models for other machine families are built to order.

Included with the platform: built-in electrical and mechanical reference, plus PDF upload that turns your manuals into searchable chapter knowledge. For a typical first site we recommend Interactive 3D Parts Finder plus Diagnostic Assistant; start with the machines you work on most, then add models as the fleet needs them.

How we build the models

Trace Systems builds each 3D model from your OEM parts books and part numbers. The models are authored in-house, and every part is mapped to its part number, so clicking a part finds it in the parts book. You don’t need to make your own models: Trace Systems-supplied 3D stays owned by Trace Systems and is licensed per install.

Parts look-up time check

Questions

What happens on the 20-minute call?

We look at the machines you work on and how your team finds parts today, then show you where Trace Systems would save time. There’s no obligation.

Do you work with our machines?

The demo is a fictional sample RIB and outboard. A live system is built from your own parts books and part numbers, and other machine families are available by quotation.

Does our data leave the workshop?

No. Diagnostic Assistant runs on private AI on your own hardware, so manuals, fault logs and know-how stay with you.

Do we need to replace our stock system?

No. Parts Finder can link to your existing stock system through its API.

Can we start with just one product?

Yes. Parts Finder, Parts Catalogue Look-Up and Interactive 3D Parts Finder can be taken on their own, and Diagnostic Assistant is an add-on.

How quickly will you reply?

The same working day. Email [email protected] or use the form.
